Gardens Bed & Breakfast Thank you for your interest in Berry Hill Gardens. Following is some general information about our property and the amenities available. We welcome your questions and are happy to cater to making your celebration a dream come true. AVAILABILITY: The Gardens are available during the summer months for outdoor events with usually a limit of 200 guests. The House is available year round for indoor celebrations and can very comfortably accommodate 20 to 30 guests. TENT: We suggest a tent rental for outdoor parties. For parties of 40 or more a tent is required. At your option, we can arrange for your tent or provide you with information on local companies offering this service. RENTALS: (1) We are prepared to provide limited seating and tables for you and your guests. For a large group, or if hosting a sit-down dinner, tables and chairs need to be rented. (2) Portable toilets are recommended and required for groups of 30 or more people. Depending upon the style of the convenience, prices range from $75 to $160 each and $450 to $1,400 for multi-stall units. There is an additional $35 fee for air-conditioned units and those that are hooked up to our water supply. (3) Dance floors are also available for rental. As above, at your option we can arrange for your rentals or provide you with information on local companies offering these services. MUSIC: Is at your discretion; we will provide electricity at no additional charge. We do ask the volume not exceed reasonable limits, and not continue past 10:00 p.m. You are welcome to use a disk jockey, ensemble or band. FOOD: Please feel welcome to prepare and bring your own food or contract the services of a caterer. For smaller events our kitchen is available for warming foods and last minute preparations. A list of local caterers is available. REHEARSALS: The Gardens are available for rehearsal and photos prior to your celebration at no additional charge; however advance arrangements are necessary. PARKING: We provide generous and convenient parking at no charge. FLOWERS: You may cut a reasonable amount of flowers to be used for your event. We will help you in the cutting. If you wish, you can have your own florist cut flowers for your bouquets and table arrangements. SECURITY FEE: This fee is required for all events; the amount negotiable for small parties and $1,000.00 for groups up to 151 people. A larger security fee may be required for groups larger than 151 people. FACILITY USE FEE: This fee, currently $2,800.00, covers the use of the designated facility or designated areas of the facility for a period of seven hours. This allows for two hours for set up, four hours for event, one hour for breakdown. Any additional time incurred by the client may result in an additional fee. Extra hour extension on existing time frame (when possible) is $100 per hour. The fee also covers the rental of 5 bedrooms in the B&B for two nights with full breakfasts included. For additional accommodations for family and guests our Buckthorn Lodge has 4 rooms available and may be rented for $1200.00 for the two nights. The Lodge is a solar house located a short distance from the main B&B. It has a full kitchen, great room with fireplace, library, four spacious bedchambers and three and a half baths. DEPOSIT: The deposit to reserve your date will be applied to your facility use fee, usually $500 to $1000 depending on the size of the party. For most events we require that you rent all five of the bedrooms in the main house for the two nights surrounding your event. INSURANCE: It is necessary you provide a Special Event Insurance Policy naming us as an additional insured. Check with your homeowners' policy or you can purchase the insurance from www.wedsafe.com or www.rvnuccio.com. Private event insurance is specially tailored single-day liability insurance coverage and event cancellation coverage, which can be purchased separately or together for various types of celebrations. Your caterer must provide proof of insurance. WEDDING PLANNER: Please let us know if you would like to talk to our Party and Events Planner to help coordinate your event.
